Build a Customer Follow-Up System

A lightweight process for tracking leads, quoting, and following up that works before you buy software.

Define your stages

Four or five stages are enough for most businesses: new lead, contacted, quoted, won, lost. Every customer sits in exactly one.

Decide the timing once

Write your follow-up cadence down so it doesn't depend on mood or memory. Then it's a task, not a decision.

  • Respond to new leads same day
  • Follow up on quotes at day 3, 7, and 14
  • Move unresponsive leads to a long-term list rather than deleting them
  • Ask for a review or referral one week after delivery

Review weekly

Fifteen minutes a week looking at stuck deals will tell you more about your business than any dashboard.
